Refund and Cancellation Policy

This policy applies to workshops, consultations, and private tutoring sessions booked with Hub Panelcore Ltd. By confirming a booking you agree to the terms below.

1. Cancellation by You

More than 7 days before the session

You may cancel and receive a full refund of any fees paid. Notify us by email at hello@hub-panelcore.click or by phone at 0208520344.

3 to 7 days before the session

You may cancel and receive a 50% refund, or reschedule to a later date within three months at no additional charge. Rescheduling is subject to availability.

Less than 3 days before the session

Cancellations within three days of the scheduled start time are non-refundable. You may transfer your place to another person at no charge by notifying us at least 24 hours in advance with the replacement attendee's name and email.

2. Rescheduling

One free reschedule is permitted if requested more than 3 days before the session. Additional reschedule requests incur a £25 administrative fee. Rescheduled sessions must occur within three months of the original date.

3. No-Shows

If you do not attend a confirmed session and have not cancelled or rescheduled according to this policy, the full session fee is forfeited. No refund or credit applies to no-shows.

4. Cancellation by Hub Panelcore

If we cancel a session — for example due to tutor illness or insufficient group enrolment — you receive a full refund or the option to transfer to another date. We will notify you as early as possible and process refunds within ten working days.

5. Deposits

Mint Authority Consultations require a 50% deposit at booking. The deposit is non-refundable if you cancel within 7 days of the session, but fully refundable if you cancel earlier or if we cancel the session.

6. Work Already Started

For consultations that include a pre-session review of your token parameters, if you cancel after we have delivered the written pre-session analysis (sent at least 24 hours before the call), the deposit is non-refundable regardless of timing.

7. Materials Purchased Separately

Replacement printed reference packs (£15) are non-refundable once dispatched. If a pack arrives damaged, contact us within seven days for a free replacement.

8. Private Tutoring

Private tutoring follows the same cancellation windows as group workshops. Unused hours from a prepaid tutoring block of four or more hours may be refunded at 80% of the hourly rate if cancelled before any hours are used. Partially used blocks are refunded only for unused hours, minus a £25 administrative fee.

9. Refund Method and Processing Time

Refunds are returned to the original payment method. Bank transfer refunds are processed within ten working days of approval. Card refunds may take an additional five to ten working days to appear on your statement depending on your bank.

10. How to Request a Refund

Email hello@hub-panelcore.click with your booking reference, session date, and reason for cancellation. We confirm refund eligibility within two working days.

11. Exceptions

Nothing in this policy affects your statutory rights under the Consumer Rights Act 2015. If a session was materially not delivered as described, contact us to discuss a remedy.
